YOUR INFORMATION
Privacy, in plain language.

ReputeLabs uses the information you share to understand your enquiry, respond to you and discuss the services you request. For privacy questions, contact contact@reputelabs.io.
What the enquiry form collects
The form collects your name, email address, business or professional name, the audience and service selected, your message and your agreement to be contacted about the enquiry. You can also provide a website, phone number and country or region. Each submission has a date and reference so it can be managed accurately.
If you arrive through a campaign link, its campaign labels may be kept in the current browser tab and included with your enquiry so we can understand where it came from. This uses the tab’s session storage and does not add a third-party analytics service.
How it is used and stored
Website enquiries are stored in a SQLite database on our Oracle-hosted virtual server. The enquiry inbox is restricted to authorised owner access. We use the records to respond, prepare an appropriate scope and manage the conversation. Sending the form does not subscribe you to a newsletter or advertising list.
Where owner email alerts are enabled, the alert contains the enquiry reference, service, audience and a private inbox link. It does not include your message or contact details. Replying to your enquiry may involve email or another channel agreed with you.
How long website enquiries are kept
New enquiry records in this website inbox are scheduled for deletion after 180 days. Records needed for an agreed client engagement are managed separately under the engagement terms. You can request earlier deletion by contacting us with your reference, where available.
Encrypted recovery backups may retain a copy after it is deleted from the active inbox. Server archives older than 14 days and encrypted copies on the owner’s Mac older than 30 days are removed at the next scheduled rotation. Removal of the Mac copies can be delayed while it is asleep or unavailable. Backups are restricted to recovery use.
Page delivery, security and cookies
Our hosting infrastructure receives connection information, such as an IP address and request headers, to deliver pages and protect the service. To limit form abuse, the application stores a keyed identifier derived from a connection address rather than the raw address. Rate-limit counters are used for a window of up to one hour; expired counters are removed during subsequent form or maintenance cleanup.
Public pages can be browsed without signing in. Owner sign-in uses a session cookie to protect the private inbox. No advertising trackers or visitor analytics scripts are included in the current site. Links to WhatsApp or other external websites are subject to those providers’ privacy practices.
What to share
Please provide a brief overview. Avoid sending passwords, identity documents, private customer records or sensitive evidence through the enquiry form. We can agree on an appropriate channel if further information is needed. Only share information you are authorised to provide.
Questions, corrections and deletion
Email contact@reputelabs.io or use the contact form to ask about your information or request access, correction or deletion. Include your original reference if available. We may need to confirm that the request relates to your record before acting on it.
This notice describes the current website enquiry process. If the tools or purposes change, we will update the information here.
